Admissions Secretary at Bryneven Primary

Job Title: Admissions Secretary
Reports To: Principal

THE AIM OF THE JOB:
To manage all aspects of the school's admissions process according to GDE and internal policies, providing relevant information and assistance to all stakeholders, as well as performing general administrative duties as required.

CORE DUTIES AND RESPONSIBILITIES OF THE JOB:
The duties and responsibilities of the job are individual and varied, depending on the approaches and needs of the school, and include, but are not limited to, the following:

Admissions
• The application of GDE and school rules relating to the admissions process, assessing the quality of applicants and making decisions regarding acceptance or otherwise.
• Providing information and answering queries regarding the admissions process.
• Attending GDE meeting regarding the school’s admissions.
• Dealing directly with the GDE regarding the placement of learners.
• Management of school waiting lists.
• Contacting feeder (and previous) schools to verify learner information for prospective pupils.
• Contacting parents to ensure that enrolment fees are paid (Grades 0-7).

Communication
• Marketing of the school.
• Meeting prospective parents and conducting school tours.
• Loading and maintaining details of pupils and parents on the school’s database.
• Managing learner Profiles (outgoing and incoming) and transfer Cards.
• Intercom announcements
• Maintaining registers for late comers and early leavers.

First Aid
• Purchasing and maintaining first aid consumables for first aid kits and sick rooms.
• Contacting parents to collect sick pupils.
• Administering first aid to learners as required, including admitting learners to sick rooms and maintaining sick room register.
• Keep sick rooms neat and tidy.
• Organising and maintaining first aid bags for all tours, sports and classrooms.

General Administration
• General filing
• Confirmation of all sporting fixtures
• Ordering catering, crockery etc. for six-a-side sports tournaments
• Ordering badges and scrolls
• Purchasing of cards and flowers - special birthdays, staff leaving etc.
• General liaison with staff, teachers, SMT, Admin and PS staff
• Any other duties as required by the Principal or Deputy Principal

Minimum Requirements

Qualifications, Skills and Experience

  • National senior certificate/ Grade 12
  • Diploma in Administration or related field
  • Excellent organisational skills
  • Strong knowledge of office operations
  • Strong computer skills
  • Administrative and communication skills
  • Experience working in a public school will be an added advantage
